E-Mail Etiquette and its importance

In this age of messaging in short cuts, any one is hardly bothered about e-mail etiquette. If I am not wrong most of the people wonder if there is any such thing as e-mail etiquette. Because we are so used to informal way of communication and shortcuts that we hardly care about this.

Right from students who communicate with their pals and guides, to business people most of us are only concerned with time. Hardly anyone has time to bother about e-mail etiquette. But it does play a very important role when it comes to business communication and formal communication. The way you compose your mail and communicate reveals a lot about the importance you give to the other person and how much you value them.

The first and very important thing you should keep in mind is you should always sound polite, but not arrogant or careless in your address or communication with the other person. The fact you should never forget while composing a mail is that you should never be too short or too lengthy.

Some people never come to the point they just beat around the bush wasting a lot of time on the other hand there are people who use shortcut words and minimum not bothering to show respect to the other. Both the approaches are not good you should try to be moderate and to the point. In formal communication you should never use short cut words like you use in messaging, this conveys a very wrong impression.

Short messaging may be good when you are communicating with your buddies and pals, but not in professional mails. Just because you are writing an e-mail doesn’t mean that we are allowed to write spelling and grammar mistakes. So, always check to make sure that there are no grammar mistakes. Because the way you compose your mail says who and what kind of person you are. So, next time you compose a mail make sure you have maintained e-mail etiquette.

Fake E-Mail In The Name of RBI

Now, a fake e mail may land up in your mail box, allegedly from India’s Central bank, asking denizens to secure their bank account details with the RBI. So, any time you get a mail from the RBI think twice. Experts said, this is an attempt by fraudsters to compel people into giving away bank account details and lose hard-earned money, security.

The fake email says that RBI has launched a new security system, asking users to click on a link to open a page with list of banks in place. Once anyone chooses a particular bank, it asks for all net banking details, including card numbers and the secret three digit CVV number, and other details.

The RBI has also been flooded with queries from citizens across the country. A senior RBI official said "I get at least four such calls a day," RBI is cautioning people that the central bank, "has not developed any such software and nor has it sent any such mail asking online banking customers to update their account details to secure their online accounts." The RBI does not even have any mail id with extension@rbi.com, the central bank says.

The bank has warned that "Members of public receiving such mails should not open the attachment and/or try to download the attachment on their computers. This is a phishing mail and accessing the mail in any manner could result in identity theft"

Defense analyst C Uday Bhaskar, said "Online frauds are increasing and predictively so. As your dependency on cyber increases, it concurrently opens up to misuse. People should not panic but awareness must increase in a big way also”

Now the bank is planning a massive pan-India publicity campaign to educate people on such scams and create awareness about not responding to such emails or messages.

Six Tips to Remember When Sending Professional E-Mail

Today E-Mail has become the primary way for many of us to communicate. Most often, people don’t meet their clients and peers face-to-face or even speak to them over phone. If there is any way that others have an impression about us it is through E- Mail. So, it becomes very important to take care in composing messages.

1) If you have been using your personal email to send professional emails, make sure that your address sounds professional. Because, addresses that are cute or suggestive, don’t have a place in work related email.

2)  If you are communicating for the first time with the recipient. You should use the person’s title and the last name.

3) When writing a mail, make sure that you sound polite and friendly. But at the same time you should get across your intended meaning.

4) While sending an e-mail it is always important that you convey your message or tell your point quickly, without leaving the important details.

5)  Errors in mail will make you look careless. So, make sure that there are no spelling mistakes and grammar corrections.

6)  Last but not the least; Make sure that you type the right e-mail address or the recipient’s name, so that it won’t reach the wrong person.
